PAIA Manual

1. Introduction
This manual is published in terms of section 51 of the Promotion of Access to Information Act, 2 of 2000 (“PAIA”), for GalgaXpert Platform Innovations, registration number K2026178862 (“the company”). It explains what records the company holds and how to request access to them, and it includes the information about our processing of personal information required by the Protection of Personal Information Act, 4 of 2013 (“POPIA”).

3. The Regulator's Guide on how to use PAIA
The Information Regulator has published a Guide, in all official languages, on how to use PAIA (as contemplated in section 10 of the Act). It is available from the Regulator's website at https://inforegulator.org.za or on request from the Regulator at enquiries@inforegulator.org.za.
4. Records available in terms of other legislation
The company keeps records as required by, among others:
- Companies Act, 71 of 2008 — statutory and company records;
- Tax Administration Act, 28 of 2011, and Income Tax Act, 58 of 1962 — tax records;
- Electronic Communications and Transactions Act, 25 of 2002;
- Protection of Personal Information Act, 4 of 2013.
5. Categories of records we hold
- Statutory and company records — incorporation documents, registration certificates, resolutions.
- Financial and tax records — accounting records, invoices, bank statements, tax filings.
- Client records — enquiries and quotes, proposals, contracts and engagement correspondence.
- Website enquiry records — quote-form submissions and related correspondence (see the Privacy Policy).
- Marketing materials — this website, the company profile and brand assets.
The company currently has no employees, so it holds no personnel records. This section will be updated if that changes.
6. Records automatically available
Everything published on this website — including service descriptions, indicative pricing, brand materials and this manual — is automatically available and needs no PAIA request.
7. How to request access to a record
- Complete Form 2 (Request for Access to Record) as prescribed under PAIA — available from the Regulator's website at https://inforegulator.org.za.
- Address it to the Information Officer at the contact details in section 2, describing the record clearly and stating the format in which you want access.
- If you are requesting on someone else's behalf, provide proof of the capacity in which you make the request.
- Pay the prescribed request fee (and, if the request is granted, the prescribed access and reproduction fees) — see section 8.
The company will decide on a request within 30 days of receiving it, as PAIA requires, and may extend that period once, by up to a further 30 days, where the Act allows. A requester must identify a right they are seeking to exercise or protect and explain why the record is required for that right. Access may be refused only on the grounds set out in the Act — for example the protection of another person's privacy, confidential commercial information, or records privileged from production in legal proceedings.
8. Fees
PAIA prescribes the request, access and reproduction fees a private body may charge. The current fee schedule (Annexure B to the PAIA Regulations, 2021) is published on the Regulator's website at https://inforegulator.org.za; the amounts are set by regulation and change from time to time, so they are not reproduced here. The Information Officer will confirm the applicable fees when acknowledging a request.
9. Remedies
A private body has no internal appeal procedure. If your request is refused, or you are unhappy with how it was handled, you may — within 180 days — complain to the Information Regulator (South Africa):

10. Processing of personal information (POPIA)
As required by the PAIA Regulations, 2021, this section summarises how the company processes personal information. The full detail is in our Privacy Policy, which forms part of this manual by reference.
- Purpose of processing: responding to enquiries, preparing quotes, and concluding and performing client engagements.
- Categories of data subjects: prospective and current clients, suppliers and business contacts.
- Categories of information: names, contact details, business details and enquiry/engagement correspondence.
- Recipients: Web3Forms (contact-form delivery — relays quote-form submissions to our inbox); Cloudflare (website hosting and content delivery network). No information is sold or shared for marketing.
- Cross-border flows: quote-form submissions are delivered via Web3Forms, which processes them in the United States.
- Security measures: HTTPS throughout, no user accounts or payment data on this website, and access to records limited to the Information Officer.
